Send an Email to Members or Properties

Message Center > Send Email lets you send an email directly to an organization's members or properties, without needing a separate mailing list tool. You can also attach files, and the message body supports basic text formatting.

When would you use this?
  • Announcing an upcoming board meeting or community event to all members.
  • Notifying just the members on a specific street or section about a maintenance outage — choose Properties as the recipient type instead of Members so the email goes to that address regardless of who currently lives there.
  • Following up individually with a member who has an outstanding question, when a phone call isn't practical.
  • Attaching a PDF of a newsletter or a signed board resolution so recipients receive the document along with the message.
Steps
  1. Go to Message Center > Send Email.
  2. Click the Recipients: bar to expand the recipient picker.
  3. Click the Members or Properties toggle to choose who this email is aimed at.
  • Members targets specific people, regardless of which address they're associated with.
  • Properties targets specific units/addresses, regardless of who currently lives there.
  1. Use the Search by name or email box (Properties recipients search by name/address instead), the Filter menu, or the Sort menu to narrow the list, then check the box next to each person or property to add them as a recipient.
  • Checking the header checkbox above the list selects everyone currently matching the search or filter. The Selected panel above the list confirms how many recipients are currently checked (e.g. "Selected 3").
  1. Under Message, fill in:
  • Subject — the email subject line.
  • Title — a heading shown inside the email body.
  • Message — the main content of the email. This field has a formatting toolbar (bold, italic, underline, strikethrough, headings, bullet/numbered lists, block quote, links, and images) so the email body doesn't have to be plain text.
  • Footer — small text shown at the bottom of the email, such as a sign-off or disclaimer. This field typically arrives pre-filled with a default line along the lines of "You are receiving this email because you are a member of [Organization Name]." It isn't locked — edit or replace it as needed.
  1. Optionally, under Attachments (optional), click Attach from Document Center to pick a file already stored in the organization's Document Center, or Upload from device to add a new file from your computer. A running total (e.g. "0 B of 20 MB used") shows how much of the attachment size limit you've used.
  • Anything you upload here through Upload from device is also saved into the organization's Document Center (in an Email Attachments folder by default — use Change folder to pick a different one) and counts toward that organization's document storage.
  1. Click Send Email.
Formatting the Message Body

The Message field's toolbar includes controls for inserting a hyperlink and inserting an image, plus a wrap option for how text flows around an inserted image.

Inserting a link
  1. In the Message field, type the text you want to turn into a link (for example, "click here" or "view the newsletter"), then select/highlight that text.
  2. Click the Insert link icon in the toolbar (a chain-link icon).
  3. In the popover that appears, confirm the Text field (pre-filled with whatever you had selected) and enter the destination web address in the URL field (for example, https://example.com).
  4. Click the checkmark to apply the link, or the X to cancel.

Once applied, the selected text becomes a clickable link in the email. Clicking directly on an existing link in the Message field reopens a small menu with Open link, Edit link, and Remove link options.

Inserting an image
  1. Click inside the Message field where you want the image to appear.
  2. Click the Insert image icon in the toolbar (a picture icon).
  3. In the Insert image dialog, choose a Folder on the left (the organization's existing Document Center folders, such as a folder of logo or photo files) to see its Files on the right.
  4. Click the image file you want, then click Insert.

This reuses images already stored in the organization's Document Center — it does not offer a separate "upload a new image" option from inside this dialog the way the Attachments section below does, so an image needs to already be in Document Center (or be added there first) before it can be inserted into the message body this way.

Wrapping text around an image
  1. Click directly on an image already inserted into the Message field to select it — a blue outline appears around it and the toolbar's Image text wrap icon becomes clickable.
  2. Click the Image text wrap icon (it sits next to Insert image) to open its menu.
  3. Choose No wrap (the image sits on its own line, the default), Wrap left (the image moves to the left and text flows around its right side), or Wrap right (the image moves to the right and text flows around its left side).

Note: Before any recipient is selected, the Send Email button is disabled and the page displays "Select at least one recipient to send." next to it. Once at least one recipient is checked, the button becomes clickable and that message disappears. Clicking Send Email opens a confirmation dialog asking "Are you sure you want to send this email to [number] recipient(s)?" with Cancel and Send buttons — clicking Send in that dialog delivers a real email to every checked recipient immediately, so double-check the recipient list, message content, and any attachments before confirming.

What the Recipient Sees

Once sent, the message arrives in the recipient's inbox as a formatted email, not a plain-text note. The screenshot below shows an actual received email, so you can see where each field you filled in on the Send Email screen ends up: the Subject you typed becomes the email's subject line, the Title appears as a heading inside the body, the Message follows as the main body text, and the Footer appears as small text at the very bottom.
