What Is the Trial Balance Report?
The Trial Balance is one of three reports under Financials > Reports (alongside Balance Sheet and Income Statement). It lists every account in the Chart of Accounts with its current debit or credit balance as of a chosen date — a first sanity check that the ledger is internally consistent.
When Would You Use This?
- Before closing a month/year, confirm every account still balances before pulling Balance Sheet/Income Statement.
- A board member or auditor wants a full list of account balances.
- Trace a Balance Sheet discrepancy back to the specific account.
How to Get There
- Go to
Financials > Reports. Opens on Trial Balance tab by default. - If on a different tab, click
Trial Balanceto return.
Reading the Report
Each row is one account from the Chart of Accounts, grouped by account type (Assets, Income, Expenses, etc.). Every account shows a balance in either Debit or Credit column, never both. A Totals row sums Debit and Credit columns — in a balanced ledger, these match.
- Acct No. / Account Description — account number and name.
- Debit — balance for accounts that normally carry a debit balance (assets, expenses).
- Credit — balance for accounts that normally carry a credit balance (income/revenue).
- Totals — sum of Debit column and sum of Credit column; should always be equal.
Setting the Date
Use the "As of date" field to see balances as of any day. Changing the date recalculates every account balance for that point in time.
Good to Know
- Only accounts with a nonzero balance as of the chosen date appear.
- This report is read-only; correct at the source (GL entry, invoice, expense) if needed.
Note: The Balance Sheet and Income Statement are built from the same underlying ledger as the Trial Balance, so if the Trial Balance doesn't balance for a given date, the other two reports for that same date won't be reliable either.
