How Do I Rename, Move, Download, or Delete a File in Document Center?
Accessing File Actions
Every file row in a folder has a ⋮ (three-dot) menu — click it, or right-click the file, to see the available actions:
- Download — saves a copy of the file to your computer.
- Rename — change the file's name.
- Move to… — relocate the file into a different folder (including back to the root).
- Delete — moves the file to Trash (see below).
Deleting a File
Clicking Delete doesn't remove the file immediately — a confirmation dialog titled Move to Trash appears, asking "Move '[filename]' to Trash?" Confirming moves the file into Trash, where it still counts against the organization's storage cap until Trash is emptied.
When Would You Use "Move to…"?
Example: A file was uploaded into the wrong folder — say, a meeting-minutes PDF that landed in "Email Attachments" instead of a dedicated "Meeting Minutes" folder. Move to… relocates it without needing to download it and re-upload it in the right place, and it keeps the file's existing permission level unless the destination folder has a different one.
Good to Know
- Every rename, move, and delete action is recorded in the Activity Log with who did it and when — useful if a client asks who removed or moved a specific document.
- A moved file takes on the permission level of the folder it's moved into, since permissions live on the folder, not the file.
- These same actions (Rename, Move to…, Delete) are also available on folders themselves, not just files. One exception: Email Attachments is a locked system folder. It has no checkbox and no ⋮ (kebab) menu, and it can't be renamed, moved, or deleted.
