How Do I Activate or Deactivate a Member?
From the Members list, select one or more rows and use the bulk Actions menu to change a member's access status.
The options
- Activate — restores full access for a member whose record currently shows Deactivated. The row-level Actions menu shows Activate in place of Deactivate once a member has been deactivated.
- Deactivate — sets Status to Inactive. Use this for a member who has moved out or sold their property and should lose access, but whose historical record needs to stay intact. The member record, their Member Profile page, and its Invoicing, Payment History, Properties, and Activity Logs tabs all remain fully viewable after deactivation.
When would you use each one?
- A member moves out temporarily (for example, a months-long absence) and the board wants to pause their portal access, with the clear intent to restore it once they return — deactivate now, then activate again later.
- A member sold their unit and moved away permanently — use Deactivate instead, since there's no expectation of restoring their access, but their invoice and payment history still needs to stay on record for accounting purposes.
Steps for a single member
- From the Members list, open the member's row-level Actions menu and choose Deactivate or Activate.
- Confirm the action in the dialog that appears.
Once a member is deactivated, their row-level Actions menu shows Activate in its place. Activating follows the same confirm-and-confirm pattern.
Updating status for more than one member at once
Check the boxes next to multiple rows in the Members list, then use the bulk Actions menu to apply the same status change to all of them.
